1.Terms and Conditions of Booking - Direct:
The website, Stay at Base, located at the URL stayatbase.com (Site) is operated by Recreational Tourism Group Pty Limited ACN 120 461 896 (RTG) trading as Base Backpackers Pty Ltd ABN 46465464654 (Base).
By booking a bed, accommodation or package (Products) on the Site and checking the box marked (I Agree) you are accepting our offer to be bound by the following:
(a) the Product Descriptions as selected from the Site;
(b) the Terms and Conditions in this Agreement;
(c) the Website Terms and Conditions of Use; and
1.2 Definitions used in these Terms and Conditions of Booking
Affiliate means a hostel that has joined RTG as an affiliate to sell accommodation through the Website, but that is not owned or operated by RTG.
Client means the party that books the products direct through the Site.
GST means Goods and Services Tax as defined in A New Tax System (Goods and Services Tax) Act 1999(Cth).
Product Description means the information about the product as described on the Site that forms part of the contract between RTG and the Client on booking the Product.
Product Provider means the Backpacking Hostel(s) or service providers listed on the Site or in the description of the Product.
RTG means Recreational Tourism Group Pty Limited ACN 120 461 896.
Terms and Conditions means the terms and conditions contained in this document and any other document as joined to this Agreement.
Website means this website located at stayatbase.com and operated by RTG.
Website Operator means RTG.
2.Bookings and payment
A valid government issued photo ID and a $20 key deposit per person are required on check-in. For bookings of more than one person in dorms we do our best to put everybody in the same room but in busy times it is not always possible so we do not guarantee it. Customers under 18 years old are to travel with a parent/guardian/teacher, and we recommend private rooms only. For under 18 years old group bookings, please enquire directly with the hostel you wish to stay at.
Base Airlie Beach Resort: for Schoolies bookings please visit 1800 Schoolies, and for Footy groups please contact Footy Trips. Special conditions and group rates apply. Bookings made via this website or any other online channel/travel agent will not be honoured on check-in.
Base Melbourne: there is a minimum stay of 5 nights for the following events yearly.
- - Spring Racing Carnival (beginning of November)
- - Xmas/NYE (end December/beginning January)
- - Australian Tennis (mid to end January)
- - Australia Formula One Grand Prix: (mid March)
Base Sydney: there is a minimum stay of 7 nights from 20th December to 8th January yearly and a 3 week cancellation policy applies over that same period.
(a) Clients agree to pay a 2% booking fee in addition to the amounts as indicated for the Products as selected.
(b) A valid credit card number must be provided to process payment of the 2% booking fee, payment of the total accommodation charge not covered by voucher (if any) and to process any cancellations that may occur.
(c) The booking is confirmed once your payment for that booking is successfully processed and if you receive a confirmation email from RTG acknowledging acceptance of your booking.
(d) The rates displayed may be discounted and are not valid in conjunction with any other offer once the payment has been received.
(a) Clients will receive a Voucher Number from RTG when making a booking;
(b) Clients must provide the Voucher number to the Product Provider when they check in.
i) are valid until the check-in date.
ii) are not transferrable
iii) may be reissued in the case of loss at RTG's sole discretion.
2.3 Consent to the provision of information to third Parties
(a) Clients acknowledge that their payment details associated with the Products booked through the Site as received by us may be provided to a third party solely for the purpose of processing their payment. The relevant third party will process payments and Clients are taken to have agreed to the terms and conditions of any third party payment processor used by RTG.
(b) Clients acknowledge that information about them may be sent between countries and Product Providers and Affiliates in the case of Australia and New Zealand.
3. Changes and Cancellations
Any changes or cancellations must be sent directly to the service provider. Contact details are available on the service providers page.
3.1 Cancellation rules
(a) Cancellations whilst at the Service Provider
Once checked into the service provider any monies paid to the provider cannot be refunded. Any change or cancellation whilst at the providers will result in a 100% cancellation fee.
(b) Cancellations made within 48 hours of arrival
Cancellations made prior to 2 days of arrival will be charged a 1 night cancellation fee. No shows will incur 90% cancellation fee of the 1st night charged to the credit card that was used when booking.
(c) A valid cancellation notice must include:
i) the Service Providers name (the base hostel name)
ii) reservation confirmation reference
iii) guest name
iv) email address as these details appear on your confirmation of booking.
Please note that for:
- Base Sydney over Xmas/NYE period (20 Dec - 8 Jan yearly), we have a 3 week cancellation policy. 100% cancellation fee apply for any cancellation within the 3 week period prior arrival.
- Base Wellington over the Rugby 7's and Homegrown yearly, all bookings are non refundable.
3.2 Change requests
Any requested changes with respect to a Client's booking, including:
i) check-in and check-out dates
ii) Product configuration must be made directly with the Product Provider whose contact details will be set out in the Clients booking confirmation. (b) Clients acknowledge that all reasonable efforts will be made to accommodate your change request but RTG is under no obligation to guarantee that change requests will be accommodated.
Refunds are not possible, once monies are paid to the service provider the booking is finalised and any change or cancellation will incur 100% fee.
4. Disclaimer relating to bookings
(a) Any loss or damage which is or may be suffered by Clients in connection with the purchase and use of any Products booked on the Site, RTG at their sole discretion, limits its liability to the extent permitted by law, and is fair and reasonable for RTG to do so, to either:
i) for goods:
(A) repairing or replacing those goods; or
(B) paying the cost of having those goods repaired or replaced; and
ii) for services:
(A) resupplying the services; or
(B) paying the cost of having the services resupplied.
In the event that the rates associated with any of the Products have been mistakenly loaded by RTG onto the Site, the terms and conditions contained in this Agreement are void. RTG agrees to notify the Client as soon as it becomes aware of such a mistake.
Clients agree to indemnify and hold harmless in respect of all liability incurred by RTG for any loss, damage, cost or expense, howsoever caused, suffered or incurred by RTG as a result of a breach of these Terms and Conditions.
7. In-house Policy
No alcohol is to be brought within the Base premises.
If we notice the number of customers in a room exceeds the number of beds paid for, payment will be required for the extra people present in the room and may lead to issuing trespass notice for everyone involved in the offence and no refund will be issued.
Any damages to the room will be charged to the credit card of the person responsible.
A $20 key deposit per person is required on check-in.
Check-in time is 14.00, if you arrive early we will store your luggage until your room is ready.
Check-out time is 10.00, late check-out can be arranged with each hostel, late check-out fee apply. You are required to bring your pillow case and key to proceed with check-out. If you fail to check-out on time you will forfeit your key deposit.
8. Entire Agreement
Base Backpackers Pty reserve all rights to edit,add or remove these Terms & Conditions at any time. These Terms and Conditions and the documents listed in the third paragraph of this agreement and any warranties implied by law which are not capable of being excluded or modified embody the entire agreement between the parties. Any contact with Customer Service Officers of RTG that includes any negotiations, representations, warranties, arrangements and statements (if any) whether expressed or implied, including any collateral agreement or warranty, with reference to the subject matter or the intentions of either of the parties are merged and otherwise are excluded and cancelled by these Terms and Conditions.
